Group Tour Operations Platform

Itineraries, demand forms, tour groups, passengers, and supplier quotes lived in separate workflows—room/bus/table assignments and departure documents are numerous; tour lifecycle stages are hard to track manually. We built a group tour platform linking tour master records, template document generation, and scheduled state progression—from product planning through settlement in one portal.

Outcomes

50+ departure doc templates

  • Operations reports 12

Scenarios & highlights

  • Sales/ops staff convert demand to tour groups, register passengers, assign room/bus/table seating, and download departure docs
  • Finance staff run tour settlement and cost payment approval, reconciliation, and P&L reports
  • HR/managers maintain payroll settings and bonus tiers, batch monthly payroll, and compute tour points from tour data
  • Suppliers use a dedicated portal to view related tours or quotes and report progress

Challenge

1. Itineraries, demand forms, tour groups, passengers, supplier quotes, and dispatch sit in separate workflows—data misalignment and duplicate entry. 2. Room/bus/table assignments and departure docs (contracts, passenger lists, insurance sign-in, etc.) are numerous—manual layout is heavy. 3. Tour lifecycle spans grouping, deposit, departure, settlement, and survey closure—manual tracking delays progress or misses surveys. 4. Ops reports, accounting, payroll, tour points, and CS surveys span sales, ops, and finance—all must align to the tour master record.

Solution

Built an ASP.NET Core group tour platform: demand, itinerary, passengers, suppliers, and payments bind to tour master records; room/bus/table seating and 50+ document templates; hourly background jobs advance tour state and create surveys; virtual account collection with bank reconciliation; 12 ops/finance reports, payroll batch runs, and supplier portal.

Results

Operations data linked via tour master records—sales, ops, and finance query the same tour from their modules. Room/bus/table docs and departure packets generated from templates—contracts, lists, itineraries from 50+ formats. Tour lifecycle driven by scheduled jobs—deposit virtual accounts, state transitions by departure/end dates, surveys created on schedule. Cross-department ops unified—12 reports from one database; payroll batch runs and tour points recalculation.
